A complex documentation process and strong contractual obligations
Before adopting Cooperlink, the as-built dossier was a very time-consuming task for BPC’s teams. All information had to be processed manually, often in paper format, with physical signatures and time-consuming searches. Maxime Dohet, Construction Director at BPC and head of the digital unit, explains how the platform transformed their document management. According to him, creating the as-built dossier required an enormous amount of time, as all information had to be reviewed manually from mainly paper documents, making the final dossier difficult to assemble and inefficient.
At the same time, BPC had to manage the relationship with the client and comply with strict contractual obligations: delivering a building on schedule, with planning, quality and cost requirements. In addition, there are obligations related to the ten-year liability period: for ten years, the company must be able to intervene on works or issues identified. BPC must therefore preserve its data, access it easily and maintain a complete historical record.
The first benefit highlighted by the IT department when introducing Cooperlink was the security of the data. Cooperlink creates a link between the various users and partners while allowing each party to retain ownership of its own data. Each actor remains the owner of their information while sharing it with others when necessary. This setup directly meets the needs for data preservation, consultation and traceability required by contractual obligations.
An evolving and collaborative document management system thanks to Cooperlink
With Cooperlink, the objective is to create a “Ready for Execution” dossier that can be consulted by all project partners. This dossier evolves continuously throughout construction and becomes automatically an as- built dossier at the end of the works, without additional manual effort. The structure and organisation of the information can be easily adapted according to partners’ needs, allowing for a continuously updated and fully evolutionary dossier.
On a daily basis, Maxime Dohet uses Cooperlink during site meetings to visualise the status of approvals, track the evolution of technical submissions, read the meeting minutes shared on the platform, consult the architect’s comments in real time and follow approvals as discussions unfold. This gives immediate visibility into the progress of documents and facilitates coordination among stakeholders.
